Adnoto - privacy statement - Prior to 24th May 2018
NOTE: This Adnoto privacy statement has been superceded by new Terms and Conditions to meet the requirements of the General Data Protection Regulations (GDPR) effective from 25th May 2018. This old privacy statement has been retained for reference to records submitted before May 24th 2018.
Records submitted using the Adnoto forms are sent directly to the relevant County Recorder, or to the named person(s) running a particular survey. You should only submit information that you are happy for them to receive and keep. If you have questions about how the submitted records will be used then contact the relevant County Recorder.
The forms require the name of at least one observer to be supplied. (Additional observer names are optional). The name(s) of observer(s) form an important piece of a record as part of its provenance and will be retained as part of the record by the County Recorder. If the record is passed to other data collators, such as a local record centre or a national recording scheme, the observer's name(s) will be included.
An email address is also requested on the forms to allow the records in the database to be associated with an email address. This allows the submitter to retrieve and delete their own records and also the County Recorder to contact the submitter if there is a query, or to simply acknowledge the records. Email addresses are not used for any other purpose and will not be passed to anyone else or to any other organization.
Observer name(s) and email address are not currently verified as part of the form submission process, so if a submitter wishes to supply fictitious name(s) and/or email address they are free to do so. The County Recorder however will not accept a record that comes from a suspicious source and has a bogus email address when the record is acknowledged.
If the forms become subject to abuse, more rigorous record submission mechanisms will be employed, but thankfully these have not yet become necessary.
The IP address of the computer used to interact with the Adnoto system is also recorded in case the system becomes subject to abuse and would allow actions from a particular IP address to be blocked. IP addresses are only visible to the webmaster and will never be passed to anyone else or used for any other purpose.
The system does not use cookies but if you choose to tick the "Remember the above data on my computer between form submissions while this browser tab is open" box then the details indicated are temporarily held by the browser between form submissions using something called Session Storage. These data are destroyed when you close the browser's tab (and when you shut down the whole browser).
You can Download and Delete all records that you have submitted into the Adnoto system at any time. You will need to Register the email address(es) specified in the submission(s) to be able to do this.
